What Documents Do Owner-Operators Need to Book Freight?
Freight booking often moves quickly, but missing paperwork can slow down broker setup or prevent a carrier from moving forward with a load. Owner-operators should keep their core business, authority, insurance, tax, and driver documents organized and current.
Carrier authority and identification
Brokers commonly need the carrier's legal business information together with active operating authority details. That usually means keeping the carrier's USDOT and MC information accurate and easy to provide when requested.
Certificate of insurance
A current certificate of insurance is one of the most frequently requested carrier documents. The policy information should match the carrier and equipment being used, and coverage should meet the requirements of the load or broker.
W-9 tax form
A completed W-9 is commonly used during broker or carrier setup so payment and tax information can be recorded correctly. Keep the legal name, business classification, address, and taxpayer information current.
Driver documents
Depending on the workflow, carriers may also need driver identification and qualification documents such as a commercial driver's license and medical certification. These should be current and stored securely.
Rate confirmation
Once a load is agreed to, the rate confirmation documents the shipment terms. Review the rate, pickup and delivery locations, appointment times, commodity information, accessorial terms, and any special instructions before moving the load.
Pickup and delivery paperwork
Bills of lading, pickup confirmations, proof-of-delivery documents, photos, receipts, detention records, and other shipment paperwork may be needed to complete the load and support invoicing.
Keep documents organized before you need them
Waiting until a broker asks for a document can create unnecessary delays. A digital dispatch workflow can keep frequently used carrier documents organized so they are easier to retrieve during setup, booking, pickup, and delivery.
How VeloGrid fits into the workflow
VeloGrid is designed to help owner-operators manage dispatch information and documents in one workflow while keeping the driver's final load decision in the driver's hands.
Important note
Exact document requirements can vary by broker, customer, equipment type, commodity, and shipment. Carriers should review the requirements for each load rather than relying on one universal checklist.
